Payroll integration for field crews
Approved hours, sent to your payroll automatically.
Payroll integration means the hours your field crews worked reach payroll without anyone typing them in again. ZeroBadge builds each worker's timesheet from badge-recorded shifts and flags what needs a second look. A manager approves the week. Approved hours, split by jobsite and into regular and overtime, are sent to your payroll provider automatically.
ZeroBadge integrates with payroll providers, so nobody re-keys a timecard. CSV, Excel and PDF exports are there when you need a file (how export works).

The workflow
Four steps between the badge and your payroll.
Capture happens on its own: badge on starts the shift, badge off ends it, and every minute is allocated to the jobsite where it was spent. Review is where the office spends its time: missing clock-outs, late starts and time outside approved sites are flagged, corrections are made with a reason, and workers can request a fix from the optional web portal.
Approve is a manager's sign-off on each week. Send delivers the approved hours to your payroll provider automatically, so nobody re-keys a single line. A new set of payroll-ready timesheets is generated automatically for every Saturday-to-Friday period, and each weekly PDF report is kept as an unchanged version.

Where payroll time goes today
The hours already exist. The office types them again anyway.
In most contractors' payroll week, the same hours are written down in the field, interpreted in the office and keyed into payroll, and each hand-off is a chance to change them.
Re-keying every timecard
Someone reads a sheet or a spreadsheet and types each worker's hours into the payroll system, one line at a time.
Overtime worked out by hand
Daily and weekly thresholds get applied in a spreadsheet, and the split changes depending on who did the math that week.
Job codes added after the fact
Which job an hour belongs to is decided in the office days later, from memory or the foreman's notes.
Corrections with no trail
A changed number on Monday morning rarely says who changed it or why, which is the first thing anyone asks when it's questioned.
Approve the week
Approval is the one decision a person makes. Everything after it is automatic.
Nothing leaves ZeroBadge for payroll until a manager has approved the week.
What the manager sees
Each worker's week split by jobsite, regular and overtime hours under your thresholds, and the exceptions list: missing clock-outs, late starts, time outside approved sites.
What approval does
It marks the week as final and sends the approved hours to your payroll provider. The weekly PDF is kept as an unchangeable version.
Who approves
You choose who approves each crew's week at setup. Roles are admin, supervisor and worker, and every approval and edit is in the audit log.
After approval
A fix is made as a correction with a reason, a new version of that week's PDF is generated and the earlier version is kept. More on the review step in timesheet approval.
Payroll integration
Connected to the payroll you already run.
Pick your payroll provider once in Settings. Approved hours go there every week. Your accountant can still get the same hours as CSV, Excel or PDF.
- Sent automatically
- Approved hours go to your payroll provider by worker and jobsite, with regular and overtime separated.
- CSV and Excel
- For any payroll or accounting system with an import, and for anyone who wants to check the week in a spreadsheet first. The same approved hours, in a file. See exporting timesheets to payroll.
- The weekly timesheet report per worker: the version you file, print or hand to an auditor.

What gets sent
Exactly what payroll receives, and what stays in ZeroBadge.
Approved hours by worker
What it contains
Each worker's approved total for the period, matched to the employee you mapped at setup.
Why payroll cares
One record per person per period, with no one retyping a timecard.
Pay period
What it contains
The period the hours belong to. Saturday to Friday by default.
Why payroll cares
Hours land in the right pay run, and a late correction is an adjustment to that period.
Regular and overtime
What it contains
The split under your own daily and weekly thresholds, applied the same way every week.
Why payroll cares
The premium is calculated once, by rule, instead of in a spreadsheet.
Jobsite split
What it contains
Recorded hours allocated to each jobsite, shop or supplier stop, plus transit between them.
Why payroll cares
Labor lands on the right job without anyone deciding it from memory.
Stays in ZeroBadge
What it contains
The correction log with who, when and why, the badge record behind each shift and every version of the weekly PDF.
Why payroll cares
Questions about a changed number can be answered from the record.
Daily and weekly overtime thresholds are set by you. ZeroBadge applies the rule you configure; it doesn't determine which rules apply to your workforce. Wage rates, taxes and deductions are not sent.
Certified payroll
ZeroBadge supplies the verified hours. A qualified person produces the report.
ZeroBadge aids certified payroll reporting by supplying verified hours by worker, day and jobsite. It does not produce or file certified payroll on its own; final certified payroll reports require review by a qualified person. See certified payroll time tracking.
Setup
Set up once. Every week after that runs the same way.

How the integration works
ZeroBadge sends the hours. Payroll itself stays with your provider.
Taxes, deductions, wage rates and paying your people stay in the payroll system you already trust. ZeroBadge makes sure the hours arriving there are badge-recorded, reviewed, approved and allocated to the right jobsite. The person running payroll spends the morning on exceptions, not typing.
ZeroBadge AI
Ask ZeroBadge AI what is ready to send
Before approved hours go to your payroll provider, ask ZeroBadge AI what is in the batch and what is not. It answers from your approved timesheets, links each total to its records and has no way to send or edit anything itself.
You ask
How many approved hours go to payroll this period?
1,912 approved hours for 41 workers, Saturday through Friday. 16 hours on two timesheets are still waiting on approval and are not in that number.
You ask
Who is missing from this period's approved hours?
Two workers: one has an open exception from Thursday and the other is waiting on a supervisor. Everyone else is approved.
You ask
How much overtime is in this period's approved hours?
143 hours across 17 workers, 94 of them at the Elm Street warehouse. Overtime follows the thresholds you set, counted per workweek.
Answers come only from your company's own records. Every number links to the records behind it. Read-only; admins control access.
